Start with the handling agent
An airport name alone is not a meeting point. Ask your flight provider for the handling agent, terminal or FBO and the passenger exit arrangements. Send those details to your ground transport provider before travel.
Create one clear arrival brief
Include the travel date, flight reference, passenger count, a contact number that will work on arrival and the complete destination address. Add any intermediate stops so the road journey can be planned as a whole.
Agree how changes are shared
Private aviation itineraries can change. Decide who will pass revised timings to the chauffeur provider and keep the lead passenger or assistant reachable. Ask the provider to confirm the agreed meeting instructions before departure.
Leave the final handover explicit
Check where the driver will meet you and what happens if the flight or passenger release is delayed. Airside vehicle access should never be assumed; your flight and ground providers must confirm what is permitted.
